Get your CRM back from the agency that built it

The agency set up the CRM under their account. It is usually GoHighLevel, sometimes HubSpot or Keap. The phone number, the automations, the contacts, all of it sits in a sub-account you cannot leave with. You want to end the retainer and you are not sure what you would be left holding.

What it costs to leave it

If the CRM is in the agency's account, the customer list is effectively theirs. Ending the relationship badly means losing the number your customers call, the automations that run your follow-up, and months of history. Most owners do not learn this until they try to leave.

The starting point

First a full inventory of what exists: numbers, automations, calendars, forms, domains, integrations, and where each one actually lives.

The build

A migration plan that keeps the phone number, moves the data, and rebuilds the automations in an account you own. Done before notice is given, not after.

The rebuild is documented, which the original setup almost never was. You will know what runs and why.

What you own

I do not take a retainer to replace theirs. The account is yours, the documentation is yours, and support afterwards is by the hour if you want it.

Scope and timing

A handover begins with a read-only review of the agency's account, which most agencies will grant. From there it is a scoped rebuild in an account you own, on the same platform or a better one, typically two to three weeks, with the number port and cutover timed to the end of your agency contract. If the agency built something genuinely good, I will say so and keep it.

Straight answers

Can the agency refuse to hand over the account?
They can refuse to transfer their sub-account. They cannot stop you from taking your data, your phone number, or from rebuilding in your own account. The plan assumes they will not help and treats help as a bonus.
Will we lose our phone number?
Not if the port is handled before the contract ends. Porting a number out of an agency account into your own is routine when it is planned. It becomes a problem only when it is left until the last day.
How do we keep this from happening again?
Own the account. Pay the vendor directly. Anyone you hire works inside your account as a user you can remove. That is the whole rule, and it is the way I set up every client.
