Move to a CRM that fits, without losing the history

You are paying for a CRM that was set up for a bigger company or by someone who has left. The team works around it. Moving feels riskier than staying, so you stay.

Answered personally, usually the same day. If a CRM is not what you need, I will say so.

What it costs to leave it

The cost of a bad-fit CRM is not the subscription. It is the salesperson keeping a private spreadsheet, the office retyping into two systems, and the history that lives in one person's head because the tool never held it. Each year of staying makes the eventual move bigger.

How crm migration is done here

The starting point

The migration starts with a data read. What is in the old system, what is real, what is duplicated, what nobody has touched in two years. Only real data moves.

The build

Custom fields, pipeline stages and tags are designed for the new system first, then the old data is mapped into them. Copying a bad structure into a new tool is the most common way a migration fails.

What runs by itself

The cutover is scheduled around your sales week. Both systems run side by side for a short window, then the old one is switched to read-only.

What you own

Nothing is deleted. The old export is kept, so if a record looks wrong there is always a way back.

Scope and timing

Migration is scoped after the data read, because the state of the old system decides the work. A clean export from HubSpot or Zoho for a few thousand contacts is a one-week job alongside the setup. A decade of Salesforce with custom objects is not, and I will say so before you commit.

Straight answers

Which systems have you moved from?
HubSpot, Zoho, Salesforce, Pipedrive, several spreadsheets, and one system that was a shared inbox with coloured labels. The method is the same. The effort is not.
Will we lose email and call history?
Contact and deal history moves. Full email threads depend on the source system and what it will export. I will tell you exactly what carries over before anything is switched off.
Should we migrate or start clean?
If your old CRM has less than a year of real use, starting clean is often faster and cheaper. If it holds years of customer history, migrate. The data read answers this in the first two days.

Tell me what is in the way.

One form. Read by the person who would do the work. If a CRM is not the answer, you will hear that first.
