SWFL CRM SetupContact

Booked, confirmed, reminded, without a phone call

Every appointment costs three messages to set and one to confirm, and a fair number of them still do not show. That time is yours or your front desk's, and none of it is billable.

Answered personally, usually the same day. If a CRM is not what you need, I will say so.

What it costs to leave it

A no-show is a paid hour with nothing in it. Across a season that is a real number, and in a business with a waiting list it is a real number twice, because someone else wanted that slot.

How appointment booking automation is done here

The starting point

Booking links that show only the times you actually have, by person, by service, by location. The caller picks. Nobody plays phone tag.

The build

Confirmation on booking, reminder the day before, reminder the morning of, each by text with a one-tap reschedule. No-shows drop when people can move an appointment in ten seconds.

What runs by itself

The booking creates the contact, the appointment and the pipeline entry in one step. Your office does not retype anything.

What you own

Missed appointments trigger a rebook message automatically, so the slot is not lost twice.

Scope and timing

Booking automation is built on your CRM's calendar, or on a connected booking tool where the CRM has none, and takes about a week, including the calendar rules, the booking page in your colours, the reminder sequence, and the rebook flow. It connects to Google or Outlook calendars so nothing is double-booked. It is included in a full setup and available alone.

Straight answers

We have multiple people with different schedules. Does it handle that?
Yes. Each person or resource gets a calendar with its own rules. Round-robin, first-available, or customer-chooses, whichever fits how you assign work.
Can customers book from our website?
Yes. The booking page can sit on your site, in a text link, in an email, or behind the missed-call text-back. Same calendar everywhere.
What about appointments that need a deposit?
A deposit can be taken at booking on most platforms. For a high-ticket consultation that alone usually ends the no-show problem.

One form. Read by the person who would do the work. If a CRM is not the answer, you will hear that first.
